Executive Assistant

Full-Time
Owen Sound

The Executive Assistant provides administrative support to the office of the President and CEO. Work assignments will support the President and CEO, Board Officers/Members and Senior Management. Working in a collaborative team with two other administrative assistants, this position provides team leadership and oversees work assignments. Organizational and time management skills, the ability to manage demanding calendars and email volumes are essential skills in this role. The Executive Assistant will have effective customer service and interpersonal skills to represent Administration in a positive and professional manner.  Success in this position requires a dedicated professional that has a strong understanding of board governance, procedures, protocol, diplomacy and confidentiality. The ability to work flexible hours to support meetings is required.

Qualifications / Skills / Abilities:

Required:

  • Successful completion of a post-secondary office administration diploma program

  • Minimum  to five years administrative/secretarial experience with a minimum of 2 years working in a senior administrative support role

  • Extensive knowledge of board governance and board practices

  • Advanced level computer skills including ability in Excel, Access, Word, Power Point and Internet based applications, to be tested

  • Keyboarding skills minimum 60 words per minute, to be tested

  • Effective logistic and time management skills to manage  demanding calendars

  • Ability to develop reports, presentations, and draft correspondence

  • Demonstrated ability to take accurate, effective and timely minutes

  • Respect for confidentiality and awareness of all relevant privacy legislation including an understanding of PHIPA, FOI

  • Experience in office management and information co-ordination (i.e. setting up filing systems)

  • Demonstrated ability to establish and maintain positive working relationships with others both internally and externally

  • Excellent communications skills to effectively deal with the public, executives from other hospitals, community partners, Board members, staff and management at GBHS. 

  • Ability to speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.

  • Ability to travel to all GBHS hospital locationsas required

  • Ability to work flexible hours

  • Ability and willingness to ensure patient safety e.g. “following routine practices and practicing diligent hand washing, completing patient risk assessments, reporting adverse events”

  • Recent satisfactory performance and attendance records

  • Knowledge of and adherence to GBHS ‘CARE’ Behaviours (Collaboration, Accountability, Respect, Excellence)

  • Advocates and supports a culture of patient safety and demonstrates an understanding of how the department service and assigned responsibilities contribute to overall patient safety at GBHS through patient safety knowledge, skills and attitudes

Preferred:

  • Undergrad Degree in a Clinical, Medical or Health related field

  • Work experience in a Health Care environment with Physician interaction
